Assistant Director, Enrollment Operations

JOB SUMMARY:

The Assistant Director, Enrollment Operations reinforces the work in the admissions department by managing the application cycle and performing daily CRM portal maintenance. As a database administrator within Salesforce, this person will ensure data integrity, monitor enrollment, and revamp the admissions application and enrollment process. This position reports to the Dean of Admissions and Corporate Partnerships. In the absence of the Dean, Admissions and Corporate Partnerships, the position reports directly to the Vice President of Enrollment Management.

ESSENTIAL FUNCTIONS:

  • Manage the day-to-day processes and functions of admissions within the CRM system (Salesforce).
  • Ensures data integrity throughout the CRM system and runs reports when needed.
  • Partners with the admissions team and additional departments (SFS and The Registrar) to improve operations and create a positive experience for future students and CRM users. 
  • Collaborates with the Registrar’s office on unofficial academic transcript evaluations, course equivalences and  class scheduling as needed. 
  • Processes first term course registrations and ensures students are made “current”
  • Represents the admissions team on various committees throughout the College and contributes to the respective  committees’ overall goals and objectives.
  • Creates technical guides, user guides, process recording & improvements, walk-through demos, and student information websites for the admissions department.
  • Serves as a committee member on the Salesforce CRM team providing administrative leadership in analyzing, developing, and implementing departmental process improvement through the use of all SFS and admissions systems.
  • Research and implement opportunities for system and process improvement through knowledge base websites and training opportunities for admissions and SFS.
  • Complete unofficial evaluations for prospective students as needed.
  • Build and update enrollment reports and queries to inform progress towards goals.
  • Support the admissions team by creating and maintaining communication plans via email and text to prospective students.
  • Support the admissions team by calling leads during high volume times.
  • Other duties/functions, as assigned.

QUALIFICATIONS AND EXPERIENCE:

  • Bachelor's degree required; Master's degree preferred.
  • A minimum of five (5) years’ experience preferably in a higher education admissions setting.
  • A minimum of (3) years’ experience preferably managing CRM systems (Salesforce) required along with knowledge of Jenzabar and Infomaker or comparable platform and the ability to use technology.
  • Demonstrated ability to:
    1. Analyze and solve problems within the constraints of College policies and procedures;
    2. Liaise with internal staff and manage interdepartmental projects as well as work independently in order to meet deadlines while working in a fast-paced environment;
    3. Maintain a high level of confidentiality with all aspects of the job duties;
    4. Support the College's Mission, particularly in administering the responsibilities of the Admissions Department.
  • Willingness and ability to learn new systems and tasks related to the Admissions department.
  • STATUS:

    Full-Time/Exempt.  Position can be performed remotely. 

    HOURS:

    Day, evening, and weekend responsibilities, as required.
